What is Check-in?
It is a feature that allows existing patients to check themselves in for their upcoming appointments. They can do this via a Kiosk or an Ipad provided by the clinic, or via their own mobile devices if they have the HotDoc app installed. If successful, we will mark them as arrived in your clinical software's waiting room.
How do I activate Check-in?
For Kiosks and Ipads, you will first need to log in to those devices by following these steps: Getting Started with Kiosk. Once this is done, you can choose the settings in your Dashboard, as explained here: How can I update the Kiosk settings?
For Mobile Check-in, you can choose your settings directly under that same section in your Dashboard as explained here: How do I turn Mobile Check-in on?
Can patients update their details when checking-in?
Yes, once patients verify their identity, they can also review and update their contact details. For more information, please see What does the Patient see when Checking In on a HotDoc Kiosk?
Can I see what contact details patients updated while checking-in?
Yes, you can review any updated made to patient details in your dashboard following these steps: How to review updates to patient details using HotDoc Check-In
How do we determine if a patient is close enough to the practice to check in via mobile?
The patient needs to be within 100m* of the practice to check-in successfully. If they’re too far away, we’ll advise them to try again at the practice or check-in at reception.
Please note: If your practice has activated Screening Mode, this distance will be increased to 250m for patients to be able to check-in outside of the waiting room.
Do patients need to have the HotDoc app installed to use mobile Check-in?
Yes, patients need to have a HotDoc account and be logged in to be able to use mobile Check-in.
If a patient has two appointments booked consecutively, do both appointments change to "arrived" in the appointment book?
Yes, the patient will be shown both appointments on the Check-In screen and both appointments will update to "arrived" in your appointment book.
Please note: both appointments are required to be within the time window where the clinic accepts check-ins.

Yes, the patient will be shown both appointments on the Check-In screen and both appointments will update to "arrived" in your appointment book.
Can we deny particular patients from checking themselves in?
Yes, you can create a 'Patient Alert' to prevent a patient from self-checking into their appointments. They will be asked to come to the front reception desk.
You can also choose not to allow patients with expired Medicare cards to check-in. For more information, please see How can I update the Kiosk settings?
Can new patients check themselves in?
No, new patients will be asked to come to the front reception desk as we often don't have enough information to arrive the patient and this gives the reception team the opportunity to gather any necessary new patient information.
Is Check-in available for Android?
No, at this stage, our Check-in feature can only be used on Ipads.
Can I add messages to be shown to patients when they check-in?
Yes, you can add messages to be shown to patients depending the device they are using, the practitioner they have the appointment with or the appointment type they have booked. For more information, please see How do I add a message to the Check-In screen?
Can I allowed Check-in only for some practitioners or appointment types?
Yes, you can choose which practitioners and appointment types are enabled for Check-in. For those not enabled, patients will be sent to Reception to check-in directly with your team. This is further explained here: How to limit Check-Ins for specific appointment types or practitioners
Can we see the history of patients that checked-in?
Yes, you can see this in your Dashboard under Check-in > History. For more information, please see Where can I see my clinic's Check-in history?
