Question
Why am I unable to find the correct practitioner name in the drop down list when setting up a new practitioner profile in the HotDoc Dashboard?
Solution
If you are unable to locate the correct practitioner in the drop down menu, there are a few things you can check.
To fix this:
- Refresh your dashboard by clicking on the curved arrow icon ⟳ on the left side of the URL box:
- If the practitioner has just been added to your practice management software, try waiting up to an hour, refreshing the Dashboard and checking for them again.
- HotDoc syncs practitioners as active when we see available sessions for the practitioner in your practice management software. Ensure the practitioner has sessions set up, then wait up to an hour for HotDoc to sync this. Please refer here for advice on how locate the sessions set up for a practitioner within your Practice Management software.
- HotDoc syncs practitioners as active if there are any upcoming appointments in your appointment book. If there are no future appointments in the book for this practitioner, add a test booking in an upcoming appointment slot and wait up to an hour for HotDoc to sync this.

If you're trying to link a HotDoc profile to a practitioner that may have previously been linked in the Dashboard before, please make sure they're not linked to another HotDoc practitioner profile.
To check this, go to Bookings > Practitioner setup > Edit next to your practitioner > Click the drop down under Link to [your clinical software] and check the practitioner is not on the list greyed out and linked to another profile. If it is greyed out, locate which practitioner in HotDoc this is linked to, and follow the instructions How do I link or unlink a Practitioner?

Why am I unable to find the correct practitioner name in the drop down list when setting up a new practitioner profile in the HotDoc Dashboard?
Solution
If you are unable to locate the correct practitioner in the drop down menu, there are a few things you can check in Cliniko.
- We sync new practitioners from Cliniko each hour. Ensure you have waited at least an hour then refresh your HotDoc Dashboard, and try again.
- Ensure the practitioner is marked as 'an active user' in their user profile, located within the 'User & practitioners' section of Cliniko. If they are not active, click this to change this to 'Yes'
- Ensure the practitioner is marked as a 'practitioner' in their User Profile, located within in the 'User & practitioners' section of Cliniko. If they are not a practitioner, select 'Make them a practitioner' in Cliniko.

- We sync new practitioners from coreplus every 30 mins. Ensure you have waited at least 30 mins then refresh your HotDoc Dashboard, and try again.
- Ensure the practitioner is marked as 'active' in their user profile, located within the 'Users' section of coreplus. If they are not inactive, change to 'Active'.
- Ensure the practitioner is marked as a 'practitioner' in their User Profile, located within in the 'Users' section of coreplus.
- Ensure the practitioner is marked as a 'publish' in their User Profile, located within in the 'Setup > Settings' section of coreplus.

Why am I unable to find the correct practitioner name in the drop down list when setting up a new practitioner profile in the HotDoc Dashboard?
Solution
If you are unable to locate the correct practitioner in the drop down menu, please note that there are a couple of conditions that must be met.
- We sync new practitioners from Nookal every 30 mins. Ensure you have waited at least 30 mins then refresh your HotDoc Dashboard, and try again.

Why am I unable to find the correct practitioner name in the drop-down list when setting up a new practitioner profile in the HotDoc Dashboard?
Solution
If you cannot locate the correct practitioner in the drop-down menu, there are a few things you can check in Praktika.
- We sync new practitioners from Praktika every 30 mins. Ensure you have waited at least 30 mins then refresh your HotDoc Dashboard, and try again.
- Ensure the practitioner is marked as 'active' in Praktika. On the left side menu, click Management > then Practice Staff
- Under the Practice Staff tab, scroll to the right of the list and check the Status column:
