How do I see an overview of Recalls that require actioning in my Dashboard?
The Recalls > Summary section in your Dashboard includes a list of all the recalls that need to be manually actioned or checked in your Dashboard. We strongly recommend using this as your 'to-do' list. For a step by step guide, please read How do I action my Recalls/Clinical Reminders? (Action checklist).
How is patient privacy protected with Recalls?
Patient privacy is protected with identity verification. Once the patient receives their SMN/push notification, they will need to enter their last name and date of birth to verify and read their 'Health Message'. Can I download previously generated letters?
Yes! If you have generated letters and download them already, you can download them again from your Dashboard as many times as you need. Please see this article for the instructions: How to find previously generated letters
Can I action multiple Recalls at the same time?
Yes, you can batch action multiple Recalls! For further information on how to efficiently make changes to bulk Recalls, please follow the instructions in this article: How do I bath action multiple Recalls?
Can I customise the days and times in which Recalls are sent to patients?
Yes, you are able to choose and change the send settings in your Dashboard > Recalls > Settings. You can also set the Result sequence to send at the same time and day, or you can set it so they are different. The instructions are further explained in the article Can I change the days/times that recalls send to patients?
Can I send Recalls to patients on public holidays?
Yes, you can enable a setting to allow Recall SMS, Push Notifications & Emails to send on public holidays in your Dashboard > Recalls > Settings. See: Can I send Recalls and Results on public holidays?
Will Recalls still work for archived practitioners?
Yes, recalls will show up on the Dashboard regardless of whether a practitioner is active or archived.
I'm using Medical Director/Pracsoft and my recalls on the Dashboard are not linked to any practitioner. Can I fix this?
Can I manually add a Recall to the Dashboard?
No, as it stands HotDoc only syncs recalls which have been assigned to patients by the practitioners in your practice management software.
Are contact attempts recorded in the patient Recall in HotDoc?
Yes! You can see the number of contact attempts made to the patient via push notification, SMN, call, email, or post in the 'Attempts' column of a patients recall, by going to Recalls > Clinical Reminders:
Are the contact attempts recorded in the patient's file in my practice management system?
Yes! When there is an action associated with the recall, such as HotDoc sending a Recall SMN or the patient reading the recall, we will write this back on the patient's file in your book. Can I assign a recall reason to more than one template?
No, each reason can only be linked to one Template Group so that HotDoc knows which sequence to follow for each reason. For further information about linking a reason to a Template Group, please see How to assign a reason to a Template Group
A patient had an invalid contact method and I changed it on my book. Can I manually send them a Recall now?
If the patient's mobile number/email is missing or invalid in their patient file and you update this information in your practice software, we will automatically send the SMN/Email to the patient.
If the contact information can't be corrected we have no means to manually send an SMS/Email recall and you will need to decide whether you'd like to inform the patient by an alternative phone number(such as a home number) or remind them by post. Is there a way to show more than 14 days worth of recalls?
No, for the majority of clinics the sync window will be 14 days in the future and 30 days in the past. This may be a little different based on your clinics settings. How does HotDoc sync and display Clinical Reminders?
For clinics using Best Practice, we will continue to sync clinical reminders until they are resolved in your software. If you started using HotDoc Recalls before the [date], the 30 day window may still apply to recalls with older due dates. |
Will my Recall information disappear from the Dashboard after a period of time?
No, we do not delete any recalls that come through to your Dashboard. You can filter to see all recalls that we've synced into the Dashboard by going to Recalls > Clinical Reminders or Activity then select the All tab.
I'm using Optomate and I have some recalls that we exported before using HotDoc. Will these be sent to patients again?
No, HotDoc will not sync recalls that have previously been exported via Optomate.
