How can HotDoc assist our practice with MyMedicare registrations?
First, decide whether you want to encourage patients to register themselves using their Medicare Online Account or the Express Plus Medicare Mobile app. Alternatively, you can use HotDoc to capture patient consent and complete the registration on their behalf. How can HotDoc assist if we prefer patients enrol themselves directly via Medicare?
- You could send a broadcast to eligible patients using our MyMedicare template and Filter and add the Services Australia website link that explains how a patient can register using their Medicare Online Account.
- You can also enable the HotDoc Inform Promotion to display a message after patients book an appointment, confirm a reminder, or complete a form, encouraging them to register through their Medicare Online Account.
How can HotDoc help capture patient consent via a form at your practice, with practice staff completing the registration in the MyMedicare system?

Create a MyMedicare Registration form in your HotDoc Dashboard using the template. The form will indicate that the registration is 'Optional' when patients open it. Once submitted, the form will appear in the HotDoc Sidebar and be saved as a PDF in the patient’s file in your practice software.
Your practice will then need to complete the MyMedicare registration by uploading the information into the MyMedicare system.
You can deliver the form to patients via the below methods:- Use our MyMedicare Broadcast SMS template where you can automatically add the form and send to eligible patients using the MyMedicare Status Filter.
- Convert the form into a QR code for patients to scan and complete while they wait for their appointment.
- Copy the forms URL link to send it directly to patients
- Enable the MyMedicare Inform Promotions and Activations to gather patient interest in enrolling for MyMedicare with your practice.
What happens once a patient submits a MyMedicare Registration form via HotDoc?

Does HotDoc automatically upload MyMedicare registrations to PRODA?
No, HotDoc will not automatically register patients in MyMedicare.
Can I extract a list of interested patients from HotDoc?
Yes, you can download a list of patients who have submitted a MyMedicare form via HotDoc.
- Navigate to your Dashboard > Forms > Submitted
- Use the Filters to filter by "MyMedicare Registration Form"
- Click the Print button in the top-right-hand corner
How do we prevent patients from receiving multiple requests to complete a MyMedicare registration via HotDoc?
When an Appointment Type is linked to a form, patients will receive a notification inviting them to complete the MyMedicare opt-in before their appointment.
- Navigate to your Dashboard > Forms > Forms
- Locate the "MyMedicare Registration Form"

Check to see if you have attached the form to Appointment Types:
- Click Edit > Settings as highlighted above.

Click the 'x' next to all Appointment Types to remove them:
- Click Save
Patients will no longer be automatically sent the MyMedicare form when they book at your practice.
Why are patients still being sent a MyMedicare form multiple times when I have selected it to send "Once Only"?
If you have linked your form to Appointment types and selected "Once Only", the MyMedicare form will be sent to the patient each time they book at your practice until the patient submits the form.
Due to the voluntary nature of MyMedicare, the patient may not want to register or they may have registered already. We recommend that you avoid sending the form to patients multiple times. What happens after a patient submits their interest via a HotDoc Inform Activations Campaign?
When a patient responds Yes, I'm interested to a MyMedicare Inform Activation campaign, this information will transfer to the HotDoc Dashboard an "Open" Activation. For more information, please see How do I action my open Inform Activations?
Can we send a Broadcast to patients based upon their MyMedicare Registration status?
Yes! HotDoc will sync the MyMedicare Registration Status in the patient file, directly from your practice software. To ensure accuracy, make sure you update this field in the patient file. When your selecting your audience for the Broadcast message, in the MyMedicare Registration Status field, you can select Registered or Not Registered:
Why can't I see the MyMedicare Registration Status field when sending a broadcast?
If you can't see the MyMedicare Registration Status field, you may need to update your practice software version. The minimum required software versions to use this field are:
- Best Practice: Orchid SP1 Revision 1
- Medical Director (Pracsoft): v4.3
- Zedmed: v36.5.2
If you are using a supported software version but still cannot see the MyMedicare filter in your Dashboard, this may mean you have an older version HotDoc installed and need to update this.
