How can HotDoc assist our practice with MyMedicare registrations?
First, decide whether you want to encourage patients to register themselves using their Medicare Online Account or the Express Plus Medicare Mobile app. Alternatively, you can use HotDoc to capture patient consent and complete the registration on their behalf. How can HotDoc assist if we prefer patients enrol themselves directly via Medicare?
- You could send a broadcast to eligible patients using our MyMedicare template and Filter and add the Services Australia website link that explains how a patient can register using their Medicare Online Account.
- You can also enable the HotDoc Inform Promotion to display a message after patients book an appointment, confirm a reminder, or complete a form, encouraging them to register through their Medicare Online Account.
How can HotDoc help capture patient consent via a form at your practice, with practice staff completing the registration in the MyMedicare system?
You can share the form with patients in several ways:

Automatically for eligible patients: Once your form is linked to specific appointment types, HotDoc will automatically send it to patients who meet the MyMedicare eligibility criteria. To be eligible, patients must:

Have a valid Medicare card

Be an existing patient at your practice

Not already be registered for MyMedicare

Not have received the form in the past 120 days

Broadcast: Use the MyMedicare Broadcast SMS template to proactively send the form to additional eligible patients using the built-in MyMedicare Status Filter.

QR code: Generate a QR code so patients can scan and complete the form while they wait for their appointment.

Direct link: Copy the form’s URL to share it manually by email or SMS.

HotDoc Inform: Enable the MyMedicare Inform promotion to raise awareness and encourage registrations.

What happens once a patient submits a MyMedicare Registration form via HotDoc?
Once a patient submits the HotDoc MyMedicare Registration form, it will appear in the Medicare Hub. For more information, please see How to manage MyMedicare form submissions in the Dashboard.
Does HotDoc automatically upload MyMedicare registrations to PRODA?
No, HotDoc will not automatically register patients in MyMedicare. However, you can use the PRODA uploaded checklist to keep track of which patients have been uploaded.
Can I extract a list of interested patients from HotDoc?
Yes, you can download a list of patients who have submitted a MyMedicare form via HotDoc.
- Navigate to your Dashboard > Forms > Submitted
- Use the Filters to filter by "MyMedicare Registration Form"
- Click the Print button in the top-right-hand corner
Can we send a Broadcast to patients based on their MyMedicare Registration status?
Yes! HotDoc will sync the MyMedicare Registration Status in the patient file, directly from your practice software. To ensure accuracy, make sure you update this field in the patient file. When you're selecting your audience for the Broadcast message, in the MyMedicare Registration Status field, you can select Registered or Not Registered:
Why can't I see the MyMedicare Registration Status field when sending a Broadcast?
If you can't see the MyMedicare Registration Status field, you may need to update your practice software version. The minimum required software versions to use this field are:
- Best Practice: Orchid SP1 Revision 1
- Medical Director (Pracsoft): v4.3
- Zedmed: v36.5.2
If you are using a supported software version but still cannot see the MyMedicare filter in your Dashboard, this may mean you have an older version of HotDoc installed and need to update it.
- The minimum HotDoc connector version of 4.49.0 and above. Please read HotDoc Broadcast - MyMedicare Registration Status Minimum Connection Requirements for more information on how to upgrade this.
Why am I unable to edit the questions in my MyMedicare form?
The MyMedicare Registration form in HotDoc now uses the exact same questions as the official Department of Health form, and it is not possible to edit them.
Any previously customised forms have been reverted, and affected clinics were notified of this change. If the Department of Health updates their official form in the future, HotDoc will automatically update our version to match.
