Within your clinical software, your team can manually opt patients out of receiving communications from the practice. If you want HotDoc to read and respect these opt out preferences, you can enable this option in your dashboard under Patient > Settings.
When enabled, this setting applies for these types of communications HotDoc may send on behalf of the clinic:
- Recalls
-
Appointment reminders
By default, the setting will be enabled, which means we will respect the opt out preferences from your clinical software unless it's manually changed in the dashboard.
Please note: This setting is applied per database. |

How to set up HotDoc to respect your patients' communications opt out preferences from your clinical software
This setting is currently available for practices using Medical Director, Zedmed and Optomate. If you use Best Practice, please note that when updating to Indigo SP1 or higher, you will need to start managing all patients' SMS consent preferences in your HotDoc Sidebar or your HotDoc Dashboard.
|
- Log in to your HotDoc Dashboard with your registered email and password.
-
In the left hand menu, click Patient, then Settings
-
Under Respect Patient Opt Out Status in [Clinical Software], you'll have the option to tick/untick the checkbox to decide if HotDoc uses the communication opt out preferences from your clinical software for Recalls and Appointment Reminders.
- If ticked: HotDoc will not contact patients who have opted out of communications on file in your clinical software.
-
If unticked: HotDoc will contact patients who have opted out of communications on file in your clinical software.
Please note: If the patient's opt out preferences are updated on HotDoc directly, this will override the settings read from your clinical software.
To learn more about this, please see:
- How do I manage patient consent in the Dashboard?
- How do I manage patient consent in the Sidebar?
- If ticked: HotDoc will not contact patients who have opted out of communications on file in your clinical software.

Lastly, make sure you save your changes.
Please note: If you have multiple clinics on one database, you will get the following warning prompt notifying you that this change will effect all clinics sharing your [Clinic Software] database.
To finish, click Yes, Save Changes.
