How do I manage patient consent in the Dashboard?

Question

I would like to manage/edit a patient's consent settings in my Dashboard. How do I do this? 

 

Solution

Within the Patient Search page in the HotDoc Dashboard, you can search for an active patient record in your practice's database and view or edit their HotDoc communications consent preferences. This allows you to opt in or opt out a patient for Reminders, Recalls and Results, and Health Information.

How to use Patient Search 

  1. In the HotDoc Dashboard, navigate to Patients > Patient Search, enter the patient's name or phone number and click Search:

  2. This searches active patient records in your patient database and brings up any matches. If you have multiple matches, verify further details such as DOB and click View for the corresponding patient:

  3. Check or uncheck the boxes for each communication type then click Save at the bottom right. Note that the Health Information communication type refers to messages sent by HotDoc's Broadcast and Reputation features.

How to check when consent was last updated

Patient Search also shows the last time consent settings were updated, either by a team member at the practice or by the patient themselves. 

This information is shown in the 'Last Confirmed' section at the top right of the Consent tab:

  • If Last confirmed shows as 'Never', this means the consent settings have never been changed since the patient's record was first synced by HotDoc.

     
  • If there have been changes, you can see more details under the Patient Activity tab, including the date and time of the change, the source, and the activity that occurred.

How to respect patient opt out preferences from your clinical software

In the Patient > Settings section of the HotDoc Dashboard you have the option of if HotDoc reads and respects the patients communication opt out preferences that you have stored in your clinical software. How to manage consent settings from the Calendar

  1. In the Calendar, click the patient's appointment.

  3. Click Patient consent settings.

How to manage consent settings from the Patients Dashboard page

  1. In the HotDoc Dashboard, go to Patients > Patient Search

  2. Type in the patient's name, mobile or home number and click Search. Then select View next to the patient you would like to edit.
