How do I prevent a practitioner from being charged twice?

Question

I have a practitioner that has two HotDoc profiles set up at our practice, for example:

  • Dr John Smith
  • Dr John Smith Skin check

How do I prevent them from being charged twice?

 

Solution

If you have multiple appointment books or columns for the same practitioner in your practice management software (PMS), please ensure they have the exact same first and last name.

  • HotDoc will automatically link practitioners with the same name in your PMS e.g. "Dr John Smith" and "Dr John Smith Skin Checks".
    Linked practitioners will only be charged once.

  • If your practitioners are named differently, e.g. "Dr John Smith" & "Dr J Smith Skin Check", our system is unable to know they are the same practitioner and will charge twice. 

If you believe you have been charged twice for one practitioner, please contact us via the Submit request link at the top of the page and we can investigate this for you.
