Question
I am using Zedmed version 31 or above and now HotDoc isn't working. How do I fix this?
Solution
There are some steps you will need to complete on the database server in order to integrate with HotDoc again. If you don't have access to the server please give these instructions to your IT to complete.
To fix this issue:
- Create a HOTDOC staff record
- Set or re-enter the Zedmed INTEGRATOR password
- Enter the INTEGRATOR details into the HotDoc Dashboard
- Restart the HotDoc Connector Services
Create a HOTDOC staff record
HotDoc requires a particular HOTDOC staff record in order to insert appointments into the book without issue. If you already have an INTEGRATOR staff record set up, we will continue to use this without issue. To do this:
- In Zedmed, go to Utilities > Security (on the right hand side of the screen) > Staff > Add.
- Add the username: HOTDOC or INTEGRATOR (in all caps).
- Staff ID: HD (again, in caps - you can use ~HD if HD is already in use).
- Included Roles: ‘Administrator’ and ‘Administrator (Clinical)’.
- Click OK and set a password - you can set it to whatever you wish.
Set or re-enter the Zedmed INTEGRATOR Password
You will need to make sure there is an INTEGRATOR user created and that you know the password for this in order to connect your services with HotDoc. If you haven't set one yet you can do so by following these instructions:
- In Zedmed, navigate to Utilities > Security > Database Users:
- Select INTEGRATOR.
- Press Set Password.
- Set a new password or re-enter the password you previously set up for this user and save. This password must be 8 characters.
Enter the INTEGRATOR details into the HotDoc Dashboard
- Log into the HotDoc Dashboard with the same Clinic User details you use for the Sidebar, or select Open Dashboard in the HotDoc Sidebar.
- Navigate to Setup > Install HotDoc:
- Change the Database Username to INTEGRATOR enter the password that was just set in Zedmed, click Save:
Restart the HotDoc connector services
To ensure HotDoc to uses this connection configuration, you will need to restart the HotDoc connector services. To do this:
- Press the Start button, search your computer for Services and open it.
- Scroll down to the HotDoc Manager service.
- Right click this and restart.
- Scroll to the HotDoc Updater service.
- Right click this and restart.
You should now see a green connected light in the sidebar.
If the sidebar shows a red No Service PMS or No PMS, please re-enter the INTEGRATOR password into Zedmed. Then restart the HotDoc services once again and this should then show a green connected light (this can can up to 10 minutes).
