This article will explain how to make a booking for a patient using Call Centre Bookings.
The Call Centre Booking feature enables call centre operators to make bookings on behalf of patients via HotDoc. This allows call centre operators to book patients in at multiple different sites without the need for direct access to each sites' appointment books.

How to make a booking on behalf of a patient
In order to use the feature, you will need to have a Call Centre patient account set up. If you require Call Centre access but do not have an account set up, please submit an enquiry to our Support Team but clicking the green Support button below. |
Please follow the steps below to make a booking on behalf of a patient:
- Head to https://www.hotdoc.com.au/ and log in as a patient with your Call Centre Bookings account details:

Click on the search bar to perform a search for the practice that the patient would like to book at.
Note: you will only have access to search for and book at practices that are associated with your company.
You can perform a search by Specialty, Provider Name, Suburb or Postcode
- Select the practice that the patient would like to book at.
- Click the Book Appointment button and follow the prompts the secure the patient's desired appointment time, date, type and practitioner.

Next you will need to enter in the details of the patient you are booking for and the click Continue. The following fields are required:
- First Name
- Last Name
- Date of Birth
- Mobile Number
- Consent check box
- Some appointment types may include additional screening questions that should be read to the patient:
- Finally, review the appointment details and press Yes, book to confirm the appointment.

The appointment will then be updated to one of the following:
- Appointment Confirmed: The appointment has confirmed in the practice's software.

Appointment Request Sent: The appointment is not yet confirmed as it requires manual action from the practice via the Sidebar.
The email address that is inserted in step 5 will be notified when the appointment is confirmed on the clinic end.
If no email address is added during step 5, the below message will appear:
- Once the appointment is confirmed, the patient should receive a confirmation email to the email address provided in step 5.
Note: Call centre users do not have access to cancel appointments that were booked via the Call Centre feature. Patients will need to cancel their appointments directly with the clinic or via a HotDoc reminder, if they have received one. |
