Automated recalls are automatically created for a patient when they have an upcoming appointment for a specific appointment type. Enabling this feature ensures:
- A recall is automatically created for a patient once they are seen for their appointment
- Eliminates the need for your team to enter recalls manually
- Increases patient retention by ensuring a recall is sent if a patient cancels their upcoming appointment or forget to book

How to add an automated recall setting
To set up automated recalls you will be required to select the appointment type(s) you'd like to enable this for, the recall template to assign to these and choose when the recall will send. |
- In the Dashboard, click Recalls > Settings and scroll to the Automated Recalls Settings section.
- Here you can click + New Automated Recall to add a new setting, edit an existing setting by clicking the pencil icon, or delete it by clicking the bin icon:
- Add the following details to create an automated recall:
- Select Appointment Type(s): Click the drop down menu and check the box next to the appointment type(s). After patients are seen for the appointment types you select, the recall will be automatically created for them.
- Select a Recall Template: Click the drop down menu and select the template you would like to assign to this automated recall.
- Send recall after: Choose the amount of day(s)/week(s)/month(s) after a patient's appointment you would like the recall to send.
- Select Save to set this.
- Select Appointment Type(s): Click the drop down menu and check the box next to the appointment type(s). After patients are seen for the appointment types you select, the recall will be automatically created for them.
- The automated recall will then be added to the list with the following details:
The outcome: For the example above, when a patient has an appointment in the Calendar for a "General check up and clean & General check up and clean - New Patient" appointment type, they will receive a notification in 6 months recalling them for a "Check up and clean".
How automated recalls are created once enabled
Once you have set up automated recalls for your appointment types, please follow the steps below to see how automated recalls are created:
- Log in to the Dashboard and go to the Calendar:
- Patient has an upcoming appointment with the appointment type enabled for automated recalls. In this example, the patient is booked in for a General Check up and Clean appointment type:
- Click on the patient's appointment and under Recall, you will see Pending Recall with the automated recall details (date it will send, recall template and practitioner):
- Note: You can modify the recall details from this screen by clicking Edit only if the patient arrival status is expected, arrived or in consult:
(If you clicked Edit, you will see this section where you can edit the details of the recall).

- Once the patient has been seen by the practitioner, it is very important to update this recall by setting the patient arrival status to Seen and then selecting Done:
- Note: Once this action has been set, you cannot edit the recall details.

- After the patient is seen, select the patient's appointment from the Calendar, and under Recall you will see Upcoming Recall with the details. This recall will then also appear in the Recalls > Activity section of the Dashboard.
- Once the appointment arrival status is set to Seen and the green Done button is selected, you cannot edit the details of the recall.
- The recall will be automatically marked as Done once the patient's upcoming recall appointment is marked as Seen.
- The only way to stop this recall manually is going to Recalls > Activity > Selecting the recall and clicking Mark as Done.
IMPORTANT - Once the appointment arrival status is set to Seen and the green Done button is selected, you cannot edit the details of the recall.
