How can I prevent new patients from calling the practice?

Question

How do I prevent new patients from calling the practice to book an appointment with a practitioner when they do not take on new patients? 

Solution

Within the Practitioner Setup in your HotDoc Dashboard, you can edit your settings so that new patients will not be told to call your practice if a practitioner does not accept new patients online. To do this, please follow these steps:

  1. Log in to your Dashboard

  2. Go to Bookings > Practitioner Setup and select Edit next to the Practitioner's name:

  3. Scroll down the Online Bookings Settings section and ensure the box  next to Tell new patients to call the practice to book is unticked. Then click Save:

  4. When a patient tries to book an appointment online with this practitioner and selects they are a new patient to your practice, they will see the practitioner does not take on new patients as below:

Please note:
If you do not see the Tell new patients to call the practice to book field , it is because the option Accept Online Bookings for new patients is ticked - Deselect this box for the other option to appear like below:

When Accepting Online Bookings for new patients is deselected, Tell new patients to call the practice to book appears.
