Practitioners can swiftly access upcoming and future appointments directly from the HotDoc Sidebar, with their practitioner user account login details. This allows them to:
- View upcoming appointments and patient details
- Join or create a Telehealth Video appointment
If enabled, practitioners have the option to view and action their Quick Consult requests in the HotDoc Sidebar. To learn more, please see:

How to view upcoming appointments and patient details

Firstly, you will be required to create a user account with Practitioner Sidebar using the instructions in this article, then proceed to the next step.

Open the HotDoc Sidebar. Note: If you have already access to the Sidebar, proceed to the next step.

Mobile Device
You can also check your schedule on the go by opening hotdoc.com.au/practitioner-view on your mobile device's internet browser. -
Log in to the HotDoc Sidebar with your registered practitioner email and password:

At a glance, you will see a calendar view of your upcoming appointments on the current date with the following information:
- Details: Appointment duration, patient name, date of birth, appointment type name
- Arrival status: as set in your appointment book/calendar. The colour key refers to: booked (blue), arrived (yellow) or seen (grey)
- Reminder status icon: sent (yellow), viewed (orange) confirmed (green)
- Form status icon: Pending submission (blue), pending processing (yellow), complete (green)

Video icon: to access Telehealth video appointments
- (if Telehealth appointments are enabled).

Arrows to access the next or previous day

Click on a patient's appointment to see the following details:

Patients details
- phone number, DOB
- Pre-appointment notes left during booking online - you can enable this here
- Status of new patient registration form (if applicable)
- Status of appointment reminder

How to access Telehealth Video appointments
The following only applies if your practice has enabled Telehealth video appointments. |
This feature works in two ways:
- If a patient books a Telehealth Video Consult, you can simply join directly from the Sidebar.
- If a patient books a Telehealth Phone Consult, you can convert this into a Video Consult from the Sidebar if you require to see the patient.
- Join a Telehealth Video Consult
- Log in to the HotDoc Sidebar.
- Click the video icon next to the patients appointment:
- Click Join Video Consultation.
- You will then be redirected to an internet browser to begin the Telehealth Video consultation with the patient.
- Convert Telehealth Phone Consults to Video Consults
- Log in to the HotDoc Sidebar.
- Click the video icon next to the patient's appointment:
Please note: All appointment types can be converted into a video consultation via the practitioner's sidebar. -
Click the green Start Video Consultation, then Join Video Consult:

You will then be redirected to an internet browser to begin the Telehealth Video consultation.
If you can not start a video consult, please check that Telehealth Video is activated for the practitioner in the HotDoc Dashboard. -
The patient will then receive an SMS or push notification inviting them to join the video session:

How to action Repeat Requests in the Sidebar
If enabled, practitioners have the option to view and action their Repeat prescription and referral requests in their Sidebar.

How to log into Practitioner Sidebar

Firstly, you will be required to create a user account with Practitioner Sidebar permissions using the instructions in this article, then proceed to the next step.

Once you've created an account, you should receive an email like below. Download the Sidebar from the email or click this link to download the Sidebar, r un the installer and follow the prompts.

Log in to the HotDoc Sidebar with your registered Practitioner Sidebar details and you will be able to access your Calendar:
How to view upcoming appointments and patient details

Once logged into the Sidebar, you will see a calendar view of your upcoming appointments on the current date with the following information:

How to search for a patient file in D4W using the Sidebar
Note: This feature will only be available if your practice is using Dental4Windows (D4W) |
Requirements
There are a few requirements that must be met in order for this tool to work:
- You must be logged into the installed version of the Sidebar, not the web version.

D4W program must be open and running. If not, the practitioner will see a clear error message in the Sidebar telling them to open D4W.

In D4W, the Patient Records section needs be open. If not, we'll automatically open it for you and then surface an error message asking you to try again. Re-click the 'Patient File' to open the file.
- Patients must have an existing patient file in D4W for the patient search to work.
Search for a patient file
This tool searches for existing patient files in D4W using the first and last name from the patients appointment in your HotDoc Calendar. This tool allows you to quickly open the patient file so you can enter notes, charts, etc in the patient file in D4W.

Once logged into the installed Sidebar, click on a patients appointment in the Sidebar and click the Patient File button:
- This will open the Find a patient box in D4W and search for existing patient files. Match the patient's phone number and date of birth in the Sidebar to the correct patient file in D4W, then click this in D4W to open the file:
How to access Telehealth Video Appointments
The following only applies if your practice has enabled Telehealth Video appointments. |
This feature can be used to join a Telehealth Video consult directly from the Sidebar, or converting a Telehealth Phone consult into a Video Consult if you require to see the patient.
How to join a Telehealth Video appointment

Once logged into the installed Sidebar, c lick the video icon next to the patients appointment
- Click Join Video Consultation

You will then be redirected to an internet browser to begin the Telehealth Video consultation with the patient.

Once logged into the installed Sidebar, click the video icon next to the patients appointment

Click the green Start Video Consultation, then click Join Video Consult
