Question

What is a recall sequence? 

 

Solution
A sequence is assigned to a Template Group to allow you to control the course of communication that a patient receives for their Recall reason.

Some recall reasons may require multiple contact attempts because they are more important for the patient to be recalled, while other reasons may only require one contact attempt, or none at all.

Consequently, HotDoc Recalls lets the practice choose which sequence to assign to a Template.

Where can I find the sequences in my Dashboard? 

You can see a list of your practice's sequences by editing or creating a new template and then expanding the drop down menu in Remind patients via within Template Settings:

Examples of common sequences include:

  • 3SMN + Letter (HotDoc sends 3 mobile contact attempts to the patient and then the recall goes to a letter stage)
  • 3SMN + Email + Call + Letter (HotDoc sends 3 mobile contact attempts to the patient, then an email, then the recall goes to a 'call' stage, then a final letter stage)
  • 3SMN + Call + Letter (HotDoc sends 3 mobile contact attempts to the patient, then the recall goes to a 'call' stage, then a final letter stage)
  • 2SMN + Letter (HotDoc sends 2 mobile contact attempts to the patient and then the recall goes to a letter stage)
  • 2SMN + Email + Letter (HotDoc sends 2 mobile contact attempts to the patient and, the an email, then the recall goes to a letter stage)
  • 1SMN + no letter
  • Ignore/Don't Send (HotDoc will automatically mark the recall as Done when it's synced into the Dashboard)

A mobile contact attempt can include a push notification or an SMN. If a patient qualifies for a push notification, they will be sent this first and a SMS later if they do not interact with the push notification. See What are Push Notifications? for more information on how this works!

Can I create a custom sequence? 

By default, you will have a number of sequences already created when Recalls is activated for your practice. These default sequences should provide enough variation to get you up and running.

However, if you have a specific need, you can also request a custom sequence by contacting our Support Team using the green 'Support' button below.
