Some of your Recall templates may include sending a letter to the patient if you were unable to reach them via SMS. You will then need to download and print out the recall letter to notify the patient via post.
There are multiple reasons a Recall may end up in the 'To Post' tab:
- Recall template/type always defaults to 'letter' based on how the template has been set up
- The patient is in one of these three 'To Action' states: (invalid mobile, underage, opted out)
- The patient did not respond to the recall SMS or push notifications
- The scheduled SMS was overridden for an individual patient, and 'Remind by post' was selected instead.

How to find previously generated/downloaded letters
- Login to your HotDoc Dashboard and navigate to Recalls > Clinical Reminders, Results > All:
- Select the Status filter and check the box next to Done - Letter downloaded and sent:
- You will then see in the Attempts column the number of letters that have been previously generated underneath the page icon. Click on a patient's name to open the recall:
- HotDoc remembers all letters generated within the batch that it was last created. To view a whole batch of Recall letters, select a patient's name within the batch to expand the Recall details and select Download PDF:
- The letters should open in a new tab in your internet browser. Scroll down to the specific letter you want, or reprint the whole batch:
How to generate and download ALL letters
- Log in to your HotDoc Dashboard
- Navigate to Recalls > Clinical Reminders or Results depending on the letters you would like to download and select the 'To Post' tab.
- To generate all Recall letters by selecting the 'Download all letters' button:
- Select Generate, then click the green Download button once the letters are ready:
How to generate and download ONE letter
- Log in to your HotDoc Dashboard
- Navigate to Recalls > Clinical Reminders or Results depending on the letters you would like to download and select the 'To Post' tab.
- Select the name of the patient from the list of recalls:
- Select the green Download Letter button:
- Select Generate on Download just this letter:
- Click the green Download button once the letters are ready.
Note: Your letters will then be downloaded and ready for you to print. The letters should open in a new tab in your internet browser, or may appear in the the "Downloads" section of your browser. - In the Attempts column you will see 1 letter has been downloaded for the patient. The Status column will also indicate: 'Done Letter downloaded and sent'

- Go to Recalls > Clinical Reminders or Results (depending on the recall).
- In the Status tab, check the box next to Letters downloaded and sent.
- In the Attempts column you will see 1 letter has been downloaded. The Status column will also indicate: 'Done Letter downloaded and sent':
