The Practice Profile section in the HotDoc Dashboard allows you to manage the information displayed on your online booking page. This page is divided into three sections:
- Practice Profile
- Practice Location
- Billing Information
Adding key details such as your phone number and website, along with information like social media links, opening hours, and billing options, helps patients better understand your services and choose a practice that suits their needs.

How to edit your Practice Profile

Log in to your HotDoc Dashboard with your registered email and password.

In the left hand menu, click into Setup then Practice Profile:

From here, you can follow the steps below to fill out the information on this page.
Practice Profile overview
The Practice Profile section allows you to upload the following information:

Your practice profile is often the first impression patients have of your clinic. Keep your description clear, welcoming, and easy to read. Highlight the services you offer, what makes your clinic unique, and any important information patients may need before booking. Consider including:
Avoid using overly technical language or long paragraphs, and make sure your information stays up to date. |
Opening hours
The Practice Profile section allows you to add standard opening hours for your practice, as well as any exceptions such as public holidays.

Scroll down to Opening Hours. To add your regular opening hours, tick the checkbox next to each day your practice is open, then enter your operating hours. Any days left unticked will appear as Closed on your online booking page.

This will display at the bottom of your practice's booking page as shown:

To add exceptions for days where your practice hours differ from your regular opening hours (such as public holidays), click + Add exception.
- Enter the date of the changed hours, and add a label (e.g. New Years Day).
- If you will be closed the whole day, select Closed. Otherwise, add the updated opening hours if you will only be open for part of the day.

Once complete, click Done.

This will display on your Bookings page under the standard operating hours as shown below:

Once the date for the exception has passed, you may wish to remove it from your Practice Profile so it no longer appears on your online booking page. To remove an exception, click the rubbish bin icon next to the entry.
Please Note: Anytime you make a change to your Opening Hours through the Practice Profile page in your Dashboard, remember to hit Save to publish the changes to your Bookings page.
Practice Location
Updating your Practice location is important so it's clear to patients where their appointment will be held and whether it will be virtual (Telehealth) or in person.

First, select if your practice is an In person practice, or if it is Telehealth only (no physical location for the patient to attend).

If In person, fill in your street address, suburb, and any specific instructions for directions or parking.

In the Map Location section:
- Type your practice address and select it from the drop-down options

You can also select the map, hold the mouse and move it around to drop the pin at the practice's precise location.

In the Map Location section:

Once completed, click Save.
Billing Information
Adding billing information helps patients understand what to expect before attending an appointment, including consultation fees, bulk billing availability, and any out-of-pocket costs.

Select the Payment Methods you accept from the drop-down options:

You can also add a Billing Policy by typing any further information in the box provided.

Select the type of Billing you practice accepts from the drop-down options:

If you choose Bulk Billing Available you can select who is eligible for bulk billing and add any further information:

If you select Bulk Billing Available and use HotDoc Payments, these settings can also be used to automatically exempt eligible patients from needing to provide a payment method when booking online or checking in at the clinic. How to view your changes
Now that you've set up your Practice Profile, you can view what it looks like by clicking the View my bookings page link in the top right of your Dashboard:
