The Practice Profile section of the HotDoc Dashboard allows you to customise the information that is displayed on your online booking page. The Practice Profile page is split into three sections:
- Practice Profile
- Practice Location
- Billing Information
Adding basic information such as your phone number or website, alongside additional information such as social media links, opening hours or billing options, can help patients learn about the services you provide or find a practice that best suits their needs.

How to edit my Practice Profile
- Log in to your HotDoc Dashboard with your registered email and password.
- In the left hand menu, click into Setup then Practice Profile:

The Practice Profile section allows you to upload the following information:
- Practice Logo
- Practice Name
- Practice Location
- Practice Phone Number
- Website
- Accreditation Body
- Social Media Links
- About your Practice (blurb)
- Facilities and Wheelchair access
- Opening Hours
- Alert Message
Opening Hours
The Practice Profile section allows you to add standard opening hours for your practice as well as any temporary modifications you have to your standard opening hours (i.e., Public Holidays).
- In the Dashboard go to Setup > Practice Profile

Scroll down to Opening Hours. To add standard opening hours, tick the boxes next to the days your practice is open and add in the hours of operation. Any day that remains unticked will be displayed as Closed:

This will display at the bottom of your practice's booking page as shown:

To add Exceptions for times the practice's hours change from the standard operating hours (i.e. public holidays). To do this click the button to + Add exception and enter the date of the updated hours, as well as any optional label or a note to patients explaining the change. Hit Done and the exception will be added to your Practice Profile:

This will display on your Bookings page under the standard operating hours as shown below:
- After the date has passed that included the Exception, you will need to remove it from your Practice Profile again if you no longer wish to display it on your Bookings page. To remove an opening hour, select the remove icon next to the Exception to your standard opening hours:
Please Note: Anytime you make a change to your Opening Hours through the Practice Profile page in your Dashboard, remember to hit Save to publish the changes to your Bookings page
Practice Location
Updating your Practice location is important so it's clear to patient's where their appointment will be held and whether it will be virtual (Telehealth) or in person.
- First, select if your practice is an In person practice, or if it is Telehealth only (no physical location for the patient to attend).

If Telehealth-only, select the timezone your practice operates from by clicking the drop down box. Once complete, move to the next section.
If In person, fill in the following details.- Street Address: type your registered practice address below
- Suburb: type and select the suburb of your address
- Directions and Parking: extra information regarding parking or directions:

In the Map Location section:
- You will need to type your practice address and select it from the registered address options to accurately pin your practice on the google map.

You can also select the map, hold the mouse and move it around to drop the pin at the practice's precise location.

Once completed, click Save.
Billing Information
Uploading billing information is particularly helpful for patients so they can know what to expect when visiting your practice.
- You can select what type of Payment Methods you accept by clicking on the disclosure triangle and checking the default options:
- You can also add a Billing Policy by typing any further information in the box provided.
- You can then choose what type of Billing the practice accepts by clicking the disclosure triangle and choosing your billing type:
- If you choose Bulk Billing Available you can also opt to select or provide further options about who is eligible for bulk billing:
If you select Bulk Billing Available and you are using Payments, we can use these settings to exempt eligible patients from having to provide a payment method when booking online or at the clinic. How to view your changes
Now that you've set up your Practice Profile, you can view what it looks like by following the View my bookings page link in the top right of your Dashboard:
