How to archive or reactivate a Practitioner

Question 

How can I archive a practitioner if they no longer work at the practice? And how can I reactivate an archived practitioner?

 

Solution

If a practitioner leaves your practice, you are able to archive their HotDoc profile. Archiving a practitioner effectively removes their profile from your online bookings page. If required, you can also reactivate an archived practitioner. Please follow the steps below for how to do this:

How do I archive a Practitioner?

  1. Log in to your HotDoc Dashboard

  2. In the left-hand menu, click on Bookings > Practitioner Setup and select Edit next to the practitioner name you want to archive:

  3. Click on the Archive Practitioner button in the bottom left-hand corner:

  4. Please note that you may not be able to archive your practitioner at first. If they are still active on your Bookings or Reminder products, you will need to make sure these products are turned off for the practitioner before you can proceed with your archiving:

  5. When the Practitioner has been switched off for Bookings and Reminders, you will see an Are you Sure? window. Select the reason for archiving from the dropdown:

  6. Then select Yes, archive to continue:

Please note: The following applies to practices using HotDoc Recalls.
If there are recalls in your practice management software linked to this practitioner, HotDoc will continue to sync the recalls and send them to patients as per your practice settings.

 

How do I reactivate an archived Practitioner?

You can still view your Archived Practitioners in the Dashboard and choose to unarchive them if you need to.

  1. To unarchive a practitioner, go to Bookings > Practitioner Setup > Cick on the Archived tab:

  2. Choose the relevant practitioner and click Edit:

  3. Click on the Restore Practitioner button in the top right-hand corner:

  4. Once selected, you will see an Are you Sure? window. Selecting Yes, restore will place your archived practitioner back into your list of active practitioners.
