How do I view my online appointment metrics?

The Bookings Analytics page can help you understand how patients are booking appointments online and how HotDoc contributes to appointment volume.

This data can be used to monitor practitioner demand, track new patient growth, and understand how patients are engaging with online bookings.

How to access your Bookings Analytics

  1. Log in to the HotDoc Dashboard using your Clinic User information. 

  2.  In the left-hand menu, select Bookings > Analytics:

  3. The default date range will be the last 14 days. Click the calendar icon to select a different date range:

Understanding your booking data

The Analytics page includes several metrics to help you understand your online booking activity.

Metric What it means
Total Appointments The total number of appointments booked online through HotDoc during the selected date range
New Patient Appointments Appointments booked by patients identified as new to the clinic
Existing Patient Appointments Appointments booked by returning patients
Mobile App Appointments Appointments booked through the HotDoc mobile app
Appointments by Doctor A breakdown of online bookings by practitioner

 

How Bookings Analytics can help your clinic

The Bookings Analytics page can help you understand how patients are booking appointments online and how HotDoc contributes to appointment volume.

This data can be used to monitor practitioner demand, track new patient growth, and understand how patients are engaging with online bookings.

The Pulse Check feature provides additional reporting on practitioner activity, patient engagement, and clinic performance trends.

Why can’t I see any data?

If no data appears:

  • Check that online bookings are enabled for your clinic
  • Confirm the selected date range includes booking activity
 

When should I use Bookings Analytics vs Pulse Check?

Both reports provide insights into clinic performance, but they focus on different types of data.

Bookings Analytics is best for understanding online booking activity through HotDoc. Clinics commonly use this report to:

  • Track how many appointments are being booked online
  • Monitor new patient growth
  • Compare practitioner booking volumes
  • Review booking trends over time
  • Understand patient adoption of online bookings

Pulse Check provides broader practitioner and clinic performance insights. Clinics commonly use this report to:

  • Review practitioner value and contribution
  • Understand patient engagement trends
  • Monitor appointment utilisation and retention metrics
  • Access higher-level performance reporting across the clinic

If you are specifically looking at online booking numbers and trends, use Bookings Analytics. If you want broader practitioner performance and value reporting, use Pulse Check.
