I use Medical Director/Pracsoft and I noticed some HotDoc-booked appointments and/or some of the HotDoc recall notes are showing as created by a random name in my book. Why is this happening and how can I fix it?

In Medical Director/Pracsoft, when an appointment is created or a recall note is added into a patient file by your team, the action is linked to the user that is currently logged in. However, when HotDoc creates an online-booked appointment or a recall note in your book, there is no user linked to it by default, which is why a random name may be showing in your book for these writebacks.
To fix this, you will need to create a "HotDoc Integration" user so that this name comes up every time HotDoc write backs appointments and recall notes into your clinical software.
To do this, please follow these steps:
- Log in to MedicalDirector PracSoft using an account with 'Full' access.

Navigate to Admin > User List:

Click the Add button in the User List window:

In the User Details window, add 'HotDoc Integration' as the Full name. Any User ID initials can be entered and Security level can be basic or full:
If you are having this issue only with online bookings and you already have a "HotDoc Recalls" user, you will still need to create the "HotDoc Integrations" user. However, we will continue to show "HotDoc Recalls" user for all Recall notes. |
