This guide will take you through how to set up a Practitioner with a Practitioner Sidebar account, so that they can directly manage and action their repeat prescription and referral requests. We will also show you how to install the Sidebar on their computer for a more complete experience. Please see the steps below for how to do this.

   In this article

  • Create and send an invite to Practitioners
  • How to set up active practitioners for more request types
  • How to temporarily disable a practitioner
  • Practitioner Emails
  • Actioning requests in HotDoc Sidebar & Installing the Sidebar

Create and send an invite to Practitioners

Note: Practices on a shared database

If you have practitioners who work across multiple practices on a shared database, we advise only setting the practitioner up for one site first.

Coming soon: We're currently working on a feature to allow GPs to use one account to access requests across multiple sites.

New to Routine Requests? Please check out our guide  Getting started with Routine Requests

Important: The practitioner's HotDoc profile must be linked to an active profile in practice software to offer repeat prescriptions or referral requests online. They do not need to be 'Visible for online bookings'.

Practitioner account statuses are as follows:

  1.
    1. Active = Practitioner has set up a password and is ready to use their account
    2. Pending = Practitioner has been sent an invite that has not been actioned
    3. Blank = Practitioner has not been sent an invite (head back to step 1 to invite them)

How to temporarily disable a practitioner

Within the HotDoc Dashboard, you can easily pause Routine Requests for a doctor in the event that they will be on leave or unable to accept requests. Requests will be automatically re-enabled at the end of the period.

For further information, please see:

How do I disable requests per individual practitioner?

Practitioner Emails

Your practitioners will start to receive emails for pending requests from patients when:

  • You have sent them an invite to use Routine Requests and they’re enabled for prescription or referral requests (regardless of whether they have set a password)
  • Your practice is live with Routine Requests

They will receive the following emails:

  • When a patient has submitted a request
  • A daily summary of any outstanding requests, sent between 8-10 am.

For further information, please see:

Actioning requests in the HotDoc Sidebar and installing the Sidebar

Please read the following article, which outlines how practitioners can manage their requests in the Sidebar:

What practitioners need to do when actioning Repeat Requests in the Sidebar

This article may be helpful to share with your doctors.

Your practitioners will be able to access their requests immediately from the HotDoc Web Sidebar once they finish setting up their account, however, installing the Sidebar on the desktop is recommended so the practitioner has full access to all features, such as:

  • Opening the patient file
  • Pin requests on their screen to easily action requests at the same time
  • Receiving notifications on their computer

To quickly view the practitioner experience with the Installed HotDoc Sidebar when actioning a request, please view the interactive guide below:
