How do I batch action multiple Recalls?

Question

Can I action multiple recalls at the same time? 

Solution 

The batch actions feature allows you to select multiple patients in a fast and efficient way to make bulk changes to your Recalls. With this feature, you can select as many patients as you like and choose to:

  • Mark as Done
  • Remind by Post
  • Remind by Call
  • Download Letters (Best Practice, Medical Director, Zedmed, Optomate only)
  • Start Sequence again
  • Add a comment only
  • Verify upcoming appointment 

How to batch action a selection of Recalls 

  1. In the HotDoc Dashboard, click the Clinical Reminders, Results, or Activity tab:

  2. Select the checkboxes next to the recalls you wish to action, or select the first checkbox to select all recalls on the page, then select the appropriate action out of:
    1. Mark as done
    2. Download letters
    3. Verify appointment or
    4. More batch actions

  3. If you selected one of the quick actions this will pre-populate, otherwise to select the drop down menu and choose an option:

  4. You can add a comment to all patients in this selection by checking the box next to Add a comment? and type your comment. Save to finalise your batch action:

  5. To process all the selected recalls, press the green Save button.

  6. You can click Back straight away to go back to working on your recalls list while HotDoc continues to finish batch actioning the recalls in the background:

  7. You will now see the patients are still selected in your recalls list, and the status will update accordingly. If you click on one of the individual patients, you can see the comment added in blue text and the successful action:
