Why didn't some fields transfer from the form to the patient file?

Question

The form in my HotDoc Sidebar suggests that there are some fields that need to be copy/pasted into the patient file. What does this mean?

Solution

The HotDoc Forms product can automatically place some standard information directly into a patient's file such as name, mobile number and medicare details.

However, there are some fields or instances where we are not able to write back the information. For these fields, you are required to manually copy and paste this information into the patient file. Some examples of this are:

  • If you've added less common fields or custom questions to your form, or if you're using a consent form, you will likely need to manually copy and paste these fields into the patient file. 

  • If you're using a consent form and the patient updates or misspells their first name, last name or date of birth, we will not write back these fields, and you will be required to copy and paste these manually. 
  • If your practice uses Best Practice Indigo or above, please note that we cannot write back any consent settings to Best Practice, only to the patients HotDoc consent settings. See Best Practice Premier Indigo SP1/Jade FAQs for more information.

*This refers to different fields depending on which software your practice uses.

  • Best Practice = Ethnicity field
  • Pracsoft = ATSI field
  • Zedmed = ATSI field

These fields will only be updated if the patient has answered Yes to the initial question 'Do you identify as Aboriginal or Torres Strait Islander?'. The update will be based on the patient's answer to the next question, 'Please select what you identify as' and will either be changed to 'Aboriginal', 'Torres Strait Islander' or 'Aboriginal/Torres Strait Islander'. If the patient answers No to the initial question, no update will be made.
