- Is one practice (HotDoc customer) merging into another database that is already a HotDoc customer? If Yes:
- Is one site not a HotDoc customer (Clinic A) merging into a Database that is already a HotDoc customer (Clinic B)? If Yes:
- Are two existing HotDoc customers merging into a new database? If Yes:
- Is one site closing and merging into an existing HotDoc customers Database ? If Yes:
Is one practice (HotDoc customer) merging into another database that is already a HotDoc customer? If Yes:
- The practice that is merging will get a new HotDoc Dashboard and complete its setup again.
- The other HotDoc customer’s HotDoc Dashboard setup will remain the same, however, as the two sites will now share a database, HotDoc Recalls product will now be shared.
- If the HotDoc customer is already using HotDoc Recalls, their configuration will be used for both sites.
Is one site not a HotDoc customer (Clinic A) merging into a Database that is already a HotDoc customer (Clinic B)? If Yes:
- Clinic B can keep their existing HotDoc Dashboard.
- If Clinic A (not currently using HotDoc) is interested in using HotDoc, please let our team know. Then a member of the team can reach out to discuss this further.
- Clinic B may need to pause using some of HotDoc products if Clinic B doesn’t use HotDoc, as some products are shared (ie Recalls).

Are two existing HotDoc customers merging into a new database? If Yes:
- Both practices will require new HotDoc Dashboards.
- The HotDoc team will activate all HotDoc products being used before the merge and both practices will need to set up these products again.
- Please note, that when two sites merge into one database their Recalls will be shared.
- If both practices were previously using HotDoc Recalls product, HotDoc can copy across one practice’s templates and some settings.
- If one practice is using HotDoc Recalls product and the other is not, before we can re-activate both clinics will need to agree to use this product, as it is now shared.
Is one site closing and merging into an existing HotDoc customers Database ? If Yes:
- All HotDoc products will be disabled for the site closing.
- The existing HotDoc customer can keep their HotDoc Dashboard.
- The HotDoc team can copy across any Doctor’s profiles to the existing HotDoc customer's dashboard.
- The practice may be required to set up some information depending on if any doctors are moving across to the other practice.
- Our finance team will make any required changes to the HotDoc customers billing
