A HotDoc 'Basic' Profile is an easy and convenient way for your patients to discover your practice and find out how to make a booking. HotDoc profiles can help to:
- Increase the number of bookings your practice receives
- Make it easier for your existing patients to find your practice details
This guide covers the essentials of setting up your HotDoc Basic Profile.
Once set up, patients will be able to search and find your practice on the HotDoc website and app and can find information about how to book an appointment at your practice.

1. Setting up your Practice Profile
The first step is edit your Practice Profile information. To do this, please see: How to Edit your Practice Profile information and follow the steps. |
Setting up your Practice Profile information is the first step in the setup checklist. This allows you to add information about your practice so that it is viewable by patients on HotDoc. The Practice Profile page is set up in three sections:
- Practice details
- Practice location

Billing information

Adding information to each available field can assist with helping a patient learn more about the services you provide, or find a practice that best suits their needs. To set this up:

Log in to your HotDoc Dashboard with your user account email and password that you set up in the invitation email:

You will then see a Setup Checklist of all the items you are required to complete. To complete the first step, select the green Set Up Profile button and you will be directed to the Setup > Practice Profile section.
- Here you will see your Practice Profile information. Begin by completing the relevant fields in the Practice Profile, Facilities, Opening Hours & Alert Message sections:

You will then see the Practice Location section, which will allow patients to see where you are located or if you're a Telehealth only provider.
- In Type of Practice: Select whether you're in person (including telehealth), or Telehealth only
- In Street Address: If you selected 'In Person' add your Street Address, Suburb, State, Postcode, Directions and Parking
- In Map Location: Type your address in the text box and select this, the pin should land on your exact location however you can drag and drop this pin if required.
- Finally, in the Billing Information section, complete the Payment Methods, Billing Policy and Billing fields so patients can know what to expect when visiting your practice:
- Once you have completed this, select the green Save button, and you will be redirected to the checklist to complete the next steps.
2. Add your practitioners' profiles
This is the second step in the checklist. Once you have added a practitioner, they will appear on your HotDoc Profile. |

In your Dashboard, click on the green Add Practitioners button, or go to Setup > Practitioner Setup
- Click + New Practitioner

Type the name of your practitioner in the Display Name field and select Create. This will be how it is displayed on the HotDoc profile page:

Complete each section of the Practitioner Profile:
- Display name - Edit this or leave as it is:
- Gender - Select an option from the drop down menu
- Profession - Select an option
- Qualifications - Type or select an option from the drop down menu
- Education - Type to add practitioners education
- Languages Spoken - Type or select a language from the drop down menu
- Special interests - Type or select an interest from the drop down menu
- Choose Image - Click the Choose Image button to upload an image of your practitioner by browsing the files on your computer, or drag and drop
- Professional statement - Type a professional statement for your practitioner
- Areas of interest - Type or select the practitioners interests

Select the green Save button to complete your practitioner profile setup. You can edit this information at any time by clicking Edit next to the practitioners name. See How to add or edit a Practitioner and select the 'HotDoc Profiles' tab for more information.
- When you're finished, select the 'Home' button, check the box next to add your practitioners' profiles and move into the next item in the checklist.
3. Set up your Booking Preferences
Your Bookings Preferences will determine how patients are directed to contact you when they are viewing your Practice Profile on HotDoc. You can either direct patients to call you practice and/or direct them to your website. |

In your Dashboard, Click the green Set Booking Method button or go to Bookings > Settings:
- Click the radio button next to your booking preference and you will see a preview of how this will appear on your bookings page. Press the green Save button and your changes will be made immediately:
- Once you're finished, Click Home and check the box next to Choose how you want patients to book to complete this item from the checklist.
4: Review and submit your Profile
This is the final step of the checklist before going live with your HotDoc Profile! |

Select the green Review your Profile button in the checklist. This will redirect you to a preview of how your HotDoc profile appears to patients. To edit any details, return to your Dashboard and edit this using the steps in the sections in this article.

Once you have reviewed your profile and would like to proceed, check the box next to Review and submit your profile then click the green Submit for Review button to submit your profile to HotDoc to review!
You will then see a status highlighted in yellow informing you of the progress of your submission. Once your submission has been reviewed, we will contact you accordingly:
