Once an appointment is placed in your HotDoc calendar there are many ways you can manage this. Please see the information below on how to achieve some of these functions.

How to cancel an appointment
- In the Calendar view, select the patients appointment, then click Cancel Appointment OR right click on the appointment and select Cancel appointment
- Confirm the cancellation by selecting Yes, Cancel Appointment. This appointment will then be removed from your calendar.
Please note: If a patient cancels their appointment through their HotDoc account or via their appointment reminder, we can send an email to alert you of this cancellation. If you would like this activated let us know by clicking the green Support button. |
How to reschedule an appointment
Reschedule appointment for the same day
Use this method if you are rescheduling the appointment for a different time on the same day, with the same or different practitioner. |
- In the Calendar view, in one motion click and drag the patients appointment to a different time slot on the same day. You can also drag the appointment to a different column if you'd like to change the practitioner.
- If the patient is opted into HotDoc communication, we will send them an SMS confirmation of their new time slot:

Use this method if you are rescheduling an appointment for a different time or day, with the same or different practitioner. |
- In the Calendar view, select the appointment that you wish to edit, then select Reschedule OR right click on the appointment and select Reschedule appointment
- You can then choose another time for the same day/week or in the future by using the calendar view or arrows:
- The appointment will then move into the new selected time slot and banner to confirm the rescheduling.
- Please note: If the patient is opted into HotDoc communication, we will send them an SMS confirmation of their new time slot.

How to edit an appointment
- In the Calendar, click on the appointment you would like to edit:
- Click Edit next to the appointment details and practitioner:
- Here you can choose a different appointment type by selecting the drop down list, edit the date, the appointment duration start or end time or the appointment's status, and then click Save.
- Alternatively, if you're only editing the appointment duration, in the Calendar hover over the bottom of the appointment and click and drag down or up to extend or shorten the duration.
