Assigning icons to patients or their appointments allows you easily identify key information about a booking or a patient in the HotDoc Calendar. Please follow the steps in this guide to see how to do this.

How to create or edit or delete icons
Once created, icons can be reused across your HotDoc Dashboard for as many patients or appointments as required.
- In the Dashboard, go to Calendar > Settings:
- Under Icons, Click + New Icon
- Select the icon image drop down and choose an icon, enter the icon label and click Save:
- The icon will then appear on the list. To add more icons, repeat this process by clicking + New Icon.
Edit or delete an icon
- In the Dashboard, go to Calendar > Settings:
- In the Icons list, click the pencil next to the icon to edit:
- To edit, use the drop down menu to change the icon or edit the label in the text field, then click Save.
- To delete, click the Delete button. You will then be asked to confirm this by clicking Yes, Delete or No, Cancel to go back.
- Click and drag the icons to edit the order of how they will appear once added to a patient or appointment. Note: Form and reminder icons will always appear to the left of the icons, regardless of this order.
How to add or remove icons to a patient or appointment in the Calendar
- In the Calendar, click on a patients appointment
- Next to their name, click the + to add an icon.
- To add a once off icon for the appointment, select the icon from the list. This will be highlighted in blue:
- To pin an ongoing icon for the patient, hover over an icon and select the pin. This will be highlighted in orange and will be automatically added to all future appointments for the patient. Use this to mark out patients who require certain accomodations, such as patients with/without a concession card, no mobile phone, latex allergy, or anything else:

- To add a once off icon for the appointment, select the icon from the list. This will be highlighted in blue:
- The icons will then appear in the edit appointment module next to their name, and on the patients appointment in the Calendar. Hover over the appointment to see the full details:

- To unpin the icons, click on the patients appointment and simply click on the icon to unpin it. This will also remove the icon from the patient's upcoming appointments.
Please note: Form & reminder icons will be displayed to the left of your selected icons. They are separated by a vertical bar like below: |
How to add an icon to a patient from the patient details
Pinned icons will automatically be added to any future appointments for that patient. This could be useful to mark out patients who require certain accomodations, such as patients with/without a concession card, a need for special assistance, or anything else.
- Go to Patients > Patient Search > search for the patients name > click View
- In the Patient Details under Pinned Icons, click + then select an icon from the menu:
- The pinned icons will then be highlighted in orange and appear on the patients appointment in the HotDoc Calendar until they're unpinned.
- To remove an icon, simply just click on the icon and it will unpin.
- Repeat this step to add more icons.
