This article explains how to see the status of an appointment reminder in the history section of your HotDoc Dashboard. Here you can see the patients details, the type of reminder that was sent, and the status of the reminder (queued, sent, viewed, confirmed or cancelled).

How to check the appointment reminder history
Appointment reminder details can be viewed in the Reminders 'History' tab in the HotDoc Dashboard. Here you can view:
- Appointment reminders that were queued to send by HotDoc
- Appointment details: Patient's name, appointment time, practitioner and appointment type
- Type of Reminder that was sent (email, push notification, SMS)
- Current status of the Reminder (whether the patient has received, viewed, confirmed or cancelled their upcoming appointment)
To view this, follow the instructions below:
- Log in to your HotDoc Dashboard and navigate into the left hand menu to Reminders > History:
- You can then use a range of filters to find specific appointments. Alternatively, the list on the page is automatically sorted to show a live history with the most recently sent at the top of the list (time stamp in the Status column):
- In the status column:
- A green dot will indicate that the patient has confirmed their appointment via their Reminder.
- A yellow dot will indicate that the appointment has been Sent but is yet to be confirmed:
- A red dot will indicate that the appointment has been Cancelled via their Reminder:
- A green dot will indicate that the patient has confirmed their appointment via their Reminder.
- Selecting the View button will show you further details about the patient and their Reminders journey if it's been through more than one status:
How do I see what appointment reminders did not send?
You can see a list of reminders that did not send in the Unsent Reminders section of your Dashboard. Please see Why did the patients appointment reminder not send?
What do appointment reminders look like in my appointment book?
Sent requests and confirmations can also be viewed directly within your appointment book. How this is displayed may depend on your practice management software however.
The following indicates how the different variations will generally display in your appointment book:
- Patient opens the appointment reminder = no change to the appointment
- Patient cancels = the appointment is removed from the book
- Patient confirms = a [C] is placed next to appointment in the book
