Why hasn't a patient received a No Action Results message?

There are several reasons why a patient may not receive a No Action Result message, including:

  • Relevant requested tests have not been marked as returned
  • The patient has unchecked items in the doctors Inbox, for the given performed date
  • One or more tests were marked as "Under specialist care"
  • One or more tests were marked with an action other than "No action"
  • We are unable to contact the patient due to age reasons, because they have opted out of SMS communication or they do not have a valid mobile number

Why do we need to check off all requested tests in the last year? 

In order for a No Action Result notification to send for a result, all requested test within the 12 months prior to the Performed date (inclusive) must be marked as 'returned' in Best Practice.

Eg. For a test performed on March 1st 2023, any Outstanding requests for tests between March 1st 2022 and March 1st 2023 must be marked as returned before a notification will send.

It is not always clear which requests for tests are for the results that have been returned. To avoid sending a No Action Result notification before all results have come back, we treat any request for tests within the last 12 months as relevant to a result.

 

Is it possible to enable No Action Results for some practitioners only?

At the moment, there is currently no setting to send for some practitioners only, but we have raised this feedback with our Product team.
There is a manual workaround however, but it’s not recommended - To send Recalls for some doctors, you must have doctors linked and showing in the Recalls Dashboard and have the template 'paused' by default (so that recalls do not send automatically). This means you will need to send all No Action results manually. You can filter by the specific doctors, batch select patients, then manually start the sequence. You would also need to manually select all the other doctors and mark those recalls as done which will write back to the patient records as such.

What happens if multiple tests have been requested on the same day?

HotDoc groups together test results by performed date. This means that each patient will only ever receive one No Action Result or Result recall for any given performed date. 

If the requested tests are performed on the same date, HotDoc will group these together into one Result.

If the requested tests are performed on different dates, a Result will be created for each date.

In both cases, all requested tests would need to be marked as returned before a No Action Results message can send.

 

Will patients be notified if I check off old requested tests?

By default, HotDoc will only send a No Action Results message if all tests for the given Performed date were checked within 14 days of the first result being checked. You can adjust this window of time in your Template Settings.

When I turn on No Action Results, will HotDoc send for Results that are already marked as Done?

No, No Action Results will only send for Results that are checked after the feature has been activated. Any results that are already marked as done will remain in a Done state unless further results are returned and checked for the performed date.

 

Can I see details of outstanding requested tests and unchecked items in the Dashboard?

Yes! If a Result is In progress - waiting for results in the Dashboard, you can select View to see the Result Details. Here you can see details of requested tests that are still outstanding and/or unchecked items.

Will this affect sending for Non-urgent appointment Results?

No, there is no change how Recalls send for Non-urgent appointment Results.

Non-urgent appointment Recalls will continue to send regardless of whether the patient has outstanding requested tests.

 

Will No Action messages send for Correspondences?

No, No Action Results will only send for Investigations.

HotDoc can still recall a patient for Correspondences checked as requiring a Non-urgent appointment.

Can I send a No Action Result message if the result is marked as 'Done: Expired' in the Dashboard?

Yes, you can restart any Results that have resolved to a 'Done: Expired' state.

If HotDoc sends a No Action result to the patient, will it automatically mark it as Given in Best Practice?

No, HotDoc will not automatically mark the result as Given in Best Practice. We do however, write-back the HotDoc contact attempt in the patient file, the same as we currently do for clinical reminders and results.

What date will HotDoc start sending No Action Results?

No Action Results will only send for Results that are checked after the feature has been activated, and they will only start sending once you have automated the template in your Dashboard. To learn how to active the feature see How to turn on No Action Results.

Will HotDoc make a contact note in Best Practice for No Action Results?

Once a No Action Result is sent to the patient, we will writeback a note with the HotDoc contact attempt in Best Practice in the patient file. Please see Where are Recall notes entered in the patient's file? - How to find Results notes in the patient file for more information
