Why is my audience smaller than expected when using HotDoc filters to send a Broadcast?

Question

I'm using HotDoc filters to create a broadcast message, but the number of targeted patients is lower than I expected. Why is this happening?

Solution

In the HotDoc Dashboard, you may have chosen to send a broadcast by selecting Broadcasts > New Broadcasts > Send using patients or by selecting a target audience, as shown below:

When using the HotDoc filters to send a broadcast, it is important to consider that the targeted audience will include patients who match all the selected criteria.

  • For example, in the image below, the selected filters under the Who are you sending to? section are: an age range (from 18 to 65 years old), an appointment type (Immunisation), an appointment date range (from 01/03 to 01/04) and a practitioner (Dr Jones)

    This means the audience will only include patients who are 18 to 65 years old and who have an Immunisation appointment with Dr Jones between 01/03 and 01/04.

    Patients not matching ALL the selected options will not be included in the audience.


If you are having this issue with a new broadcast, we suggest:

  • Making sure only relevant filters are included

  • If you think you're using the correct filters but the number is still not matching what you expected, you can try generating a CSV file in your practice management software including all the patients you want to target, and uploading this into the dashboard by clicking Upload .csv file:

    Please note: this option is only available for clinics using Best Practice, Medical Director/Pracsoft and Zedmed
