The Medicare Hub in the HotDoc Dashboard makes it easier to track MyMedicare patient registrations, manage forms, and ensure your practice software matches PRODA records.
The hub allows you to easily:

Work through a built-in checklist to ensure nothing is missed, or remove invalid submissions

See each patient’s registration status, synced directly from your practice software for cross-checking.
This article will show how you can manage the full registration process from the MyMedicare Hub – from the patient form submission to PRODA upload, and marking the patient as registered in your PMS.

Viewing MyMedicare Submissions
In the HotDoc Dashboard, head to Medicare Hub > MyMedicare Forms:
You’ll see two tabs:

Needs Uploading – forms that still need to be uploaded into PRODA.

All – a full history of patient submissions.

If there are any invalid submissions (such as from a patient accidentally registering), you can remove it from the list by clicking the X icon next to the submission:
Using the PRODA Uploaded checklist

Each patient row includes their Medicare details and preferred GP for you to easily add into PRODA.

After submitting to PRODA, tick the PRODA Uploaded box. This acts as your checklist to avoid duplication.
Understanding the 'Registered in PMS' column
This column shows whether a patient has been marked as registered for MyMedicare in your clinical software (e.g. Best Practice, Medical Director).

Unregistered (red dot): The patient hasn’t yet been flagged as registered in your clinical software.
- Registered (green dot): The patient has been registered in your clinical software.

How to update it:

After you’ve uploaded the form into PRODA, go into the patient’s file in your clinical software.

Tick the official “Registered for MyMedicare” field.

HotDoc will then sync with your software, automatically update the status in the Dashboard, and move the submission to the 'All' tab.

Use the Filter by: Show patients registered in [PMS] checkbox to include patients already marked as registered in your software.

Use the Export as CSV button (top-right corner) to download a copy of all enrolments.
FAQs
Does the MyMedicare feature integrate with PRODA?
No, HotDoc does not integrate directly with PRODA. However, once a patient submits a form, their details will appear in the MyMedicare Forms section in your Dashboard, ready for you to upload into PRODA. From there, you can mark off patients as you go and view their registration status synced from your practice software, or remove any invalid submissions.
Why does a patient still show as “Unregistered” in the Dashboard, even though I uploaded them to PRODA?
HotDoc's MyMedicare Hub syncs with your clinical software, not PRODA directly. Make sure you tick the “Registered for MyMedicare” field in the patient file after uploading to PRODA. Once that’s saved, the Dashboard will reflect the update.
Is the MyMedicare feature included in my subscription?
Yes! There is no cost to use the MyMedicare forms, submission checklist and inform promotion campaign. If you send a MyMedicare form using our Broadcast SMS feature, there is an additional charge of $0.063 per SMS to your subscription. Once sent, this charge will be added to your next monthly invoice.
Who will receive the MyMedicare Registration form?
Only existing patients at your practice who book an appointment type linked to your form and meet the eligibility criteria will receive the form. To be eligible, they must not already be registered for MyMedicare, must have a valid Medicare card on file, be an existing patient at your practice and must not have received the form in the past 120 days.
