How do I add a message to the Check-In screen?

Question

I would like to add a message to be shown to patients when they check in. How can I do this?

Solution

You can add a default message on your device, a message for each practitioner or for each appointment type in the Check-In > Settings section in your HotDoc Dashboard.

This allows any important pre-appointment information to be relayed to patients quickly and easily as they check-in using the device at your practice. 

Note: Messages can be set for both the in person Kiosk and for Mobile Check In.

Check-in messages are shown prior to the successful check-in page so patients are made aware of any extra information for their appointment:

How to add a default message on a device

  1. Log in to the Dashboard

  2. Go to Check-in > Settings > Check-in messages:

  3. Select '+ Add' for the relevant device:

  4. Set your default message to be displayed after every check-in on the device, and select the green tick to save:

  5. Click 'Copy from Device' to update any device custom message with a copy that has already been set for another device: 


Please note: The message will be shown only if no custom copy has been set for the patient's practitioner.


How to set messages for each practitioner

Different messages can be set for each practitioner, so that when patient check in, they can be shown the message specific to their own practitioner.

  1. Log in to the Dashboard and go to Check-in > Settings > Check-in messages:

  2. Scroll down to 'Customise for each Practitioner' and select the '+ Add' button for the relevant practitioner:

  3. Set your message to be displayed after the patient checks in for this practitioner, and select the green tick to save:

  4. Click 'Copy from Practitioner' to update any practitioner's message with a copy that has already been set for another practitioner:

Please note: Practitioner messages are only shown if there is no custom message set for the patient's appointment type. 

 

How to set messages for each appointment type

Messages can also be set per appointment type. This can be handy if you want to let the patient know anything about a specific appointment type.

  1. Log in to the Dashboard and go to Check-in > Settings > Check-in messages:

  2. Scroll down to 'Customise for each Appointment Type' and select the '+ Add' button for the relevant appointment type:

  3. Set your message to be displayed after the patient checks in for this appointment type and select the green tick to save:

  4. Click 'Copy from Appointment Type' to update any custom message with a copy that has already been set for another appointment type:

Please note: Custom appointment type messages are shown even if a device or practitioner message is set.
