How to configure Core Practice for HotDoc

Core Practice

In order to setup HotDoc at your practice for online bookings, you must first configure Core Practice and HotDoc using the instructions in this article. Doing this ensures:

  • We sync practitioner, appointment and available session times from Core Practice to HotDoc 
  • Patients can search for and book appointments online via the HotDoc website and app
  • Appointments integrate into your Core Practice Appointment Book

Please follow the steps below to complete this configuration and set up HotDoc at your practice.

What you'll need to integrate Core Practice and HotDoc

In order for Core Practice and HotDoc to integrate, we require the API from Core Practice to be configured into the HotDoc Dashboard. So that you can do the configuration, you'll need:

  1. Your HotDoc user account login details to log into the Dashboard (email and password) 
  2. Your Tenant name from Core Practice, so that you can input this in HotDoc Dashboard.
    To find this in Core Practice, you will need to log in to your Core Practice Profile and select your clinic name from the URL. This is the name of your organisation configured with Core Practice. Only include the name before the Core Practice URL (eg. If your Core Practice URL is  https://myclinic.practicemanagement.com then your Tenant ID is myclinic.)
  3. You need to enable the connection between HotDoc and Core Practice in your Core Practice account. Go to the add-on section in your Core Practice and add HotDoc.

Once you have these things, please follow the steps below to configure your integration. 

 

How to configure Core Practice for HotDoc

Ensure you have your Tenant name from Core Practice before following the steps below to configure HotDoc:

  1. Log into the HotDoc Dashboard with your HotDoc user account email and password, then press Login:

  2. On the home page, click Get Started under step 1 of the bookings checklist:

    Please note: If screen above does not appear, then check if you have signed the user agreement first. 
  3. Paste your Tenant name from Core Practice into HotDoc, then press Connect with Core Practice:

    To find your tenant name in Core Practice, you will need to log in to your Core Practice Profile and select your clinic name from the URL. This is the name of your organisation configured with Core Practice. Only include the name before the Core Practice URL (eg. If your Core Practice URL is  https://myclinic.practicemanagement.com then your Tenant name is myclinic.)
  4. You will then be directed to log in to your Core Practice. (note: this may not be required if you are already logged in). If the Tenant name is incorrect you will see an error message. Please double check that you have entered in the correct Tenant name into your HotDoc Dashboard. 

  5. Provide consent to the HotDoc API to access your data by clicking Accept. 

  6. Confirm the details and select Yes, Save. We will then start syncing your information from CorePractice to HotDoc such as your appointment types, practitioners and session times. 



  7. Once you have successfully connected with HotDoc, you will see the button change to "Core Practice connected" message.

  8. Click the Home tab on the left hand side and go through the rest of the checklist to complete your HotDoc setup.
  9. Step 2 is in your checklist to complete your Practice Profile information. Begin by completing the relevant fields in the Practice Profile, Facilities, Opening Hours & Alert Message sections:



  10. You will then see the Practice Location section, which will allow patients to see where you are located.
    In Type of Practice: Select whether you're in person (including telehealth), or Telehealth only
    In Street Address: If you selected 'In Person' add your Street Address, Suburb, State, Postcode, Directions and Parking
    In Map Location: Type your address in the text box and select this, the pin should land on your exact location however you can drag and drop this pin if required.


  11. Finally, in the Billing Information section, complete the Payment Methods, Billing Policy and Billing fields so patients can know what to expect when visiting your practice:



  12. Once you have completed this, select the green Save button, and you will be redirected to the checklist to complete the next steps.
  13. In your Dashboard, click on Get Started in step 3, or go to Setup > Practitioner Setup 



  14. Click + New Practitioner 

     

  15. Type the name of your practitioner in the Display Name field and select Create. This will be how it is displayed on the HotDoc profile page:

    Complete each section of the Practitioner Profile (This is also Step 4 of your checklist):

    • Display name - Edit this or leave as it is: 
    • Gender - Select an option from the drop down menu
    • Profession - Select an option
    • Qualifications - Type or select an option from the drop down menu
    • Education - Type to add practitioners education
    • Languages Spoken - Type or select a language from the drop down menu
    • Special interests - Type or select an interest from the drop down menu
    • Choose Image - Click the Choose Image button to upload an image of your practitioner by browsing the files on your computer, or drag and drop
    • Professional statement - Type a professional statement for your practitioner
    •  Areas of interest - Type or select the practitioners interests
    • Online booking settings - select the preferred booking settings

    Select the green Save button to complete your practitioner profile setup. 



  17. In your Dashboard, click on Get Started in step 5, or go to Bookings > Appointment Types.

  18. Click + New Appointment Type

     

     


  19. Complete each section of the Appointment Types:
    • How it appears to patients - Give it a name and select preferences
    • Template for Practitioners - You can use these settings as default for when you add new practitioners
    • Link to Core Practice Appointment Type
    • Appointment available online for your Active Practitioners - Select for which practitioners this appointment type is relevant

      Select the green save button.



  20. In your Dashboard, click on Get Started in step 6, or go to Setup > Open Sidebar

  21. Enable notifications in the Sidebar

     

  22. Activate bookings by clicking Yes, Activate Bookings. 

     



  23. Go to ‘View my Bookings page’ and make a test booking
