How to view Practitioner Value Reporting and Pulse Check in the HotDoc Dashboard

This article will take you through the steps for accessing and understanding the Practitioner Value Report/Pulse Check dashboard.

The Pulse Check dashboard is available to all Practice Managers and dashboard admins who have a HotDoc "Dashboard only" or "Dashboard and Sidebar" account. If you do not have access to an account, you can ask your Practice Manager or Admin to set one up for you by following these steps: How to create, edit or delete a User Account (HotDoc login details)

The Pulse Check Dashboard shows a range of reports based on monthly metrics that cover the following features:

  • HotDoc Bookings
  • New Patients
  • Payment Requests
  • Reviews

Please note:

If you are sharing your computer with another, make sure to log out of the dashboard at the end of your day to avoid any potential data privacy concerns.

How to access the Pulse Check dashboard

  1. In the Dashboard, navigate to the Pulse Check tab.

  2. You'll now be shown your Pulse Check Dashboard full of helpful metrics:
    Please note: You can see the date range of the data will be visible in the top right corner and will display 12 months of retrospective data, which is inclusive of your month to date. E.g., on any day in December, you will see all data from the 1st of January until the current date.

  3. You can also click on any tooltip icon or read below to learn more about each report, and you can click on any legend icon to hide it from the display.

Understanding your Pulse Check dashboard

Your Pulse Check Dashboard is made up of 5 Sections, broken down into a graph, a total count, and the value. If a report is showing as blank, that means either there is no current information for this report or you are yet to be set up for the related feature.

Appointments

Appointment per month (Graph)

This chart outlines the monthly number of appointments at your practice, categorised by their source (App, Website, or Widget). It includes all appointments, even those that were cancelled.

Total Appointments
(Count)

This chart outlines the total number of appointments at your practice. It includes all appointments, even those that were cancelled.

Your Patients Using HotDoc
(Count)

This chart shows the total number of unique patients who have ever booked an appointment at your practice through HotDoc. It reflects your entire history with HotDoc and isn’t affected by date filters. All appointments are included, even those that were cancelled.
Patients

New patients per month
(Graph)

This chart outlines the monthly number of new patient appointments at your practice booked via the HotDoc App or Website. It includes all appointments, even those that were cancelled.
Total New Patients
(Count)
This chart outlines the total number of new patient appointments at your practice booked via the HotDoc App or Website. It includes all appointments, even those that were cancelled.

Total Lifetime New Patient Revenue
(Value)

This chart shows estimated revenue generated from new patients that have booked via the HotDoc app or website. It includes all appointments, even those that were cancelled.

The estimated revenue is calculated based on what a practice gets from a new patient over their first 12 months. HotDoc estimates this to be $245 per new patient based on an average of 3.26 visits, using 2023 HotDoc data

Payments

Payments per month (Graph)

This chart outlines the monthly number of payment requests that have been completed at your practice and the revenue generated through payment requests for that month after fees have been subtracted.

Total Payment Requests
(Count)

This chart outlines the total number of payment requests that have been completed at your practice.

Total Payments Revenue
(Value)

This chart outlines the total revenue associated with payment requests after fees have been subtracted.
Quick Consults

Quick Consults per month
(Graph)

This chart outlines the monthly number of Quick Consults requests that have been completed at your practice, categorised by their request type as well as the revenue generated from requests for that month.

This chart outlines the total number of Quick Consults requests that have been completed at your practice.

Total Quick Consults Revenue
(Value)

This chart outlines the total revenue generated from Quick Consults requests at your practice.
Patients

Average review rating per month
(Graph)

This chart outlines the average review rating from the reviews your practice received within a given month.
Total Reviews
(Count)
This chart outlines the total number of reviews your practice has received.

Average Review Rating
(Value)

This chart outlines the average review rating of all reviews that your practice has received.

Why can't I view the Pulse Check tab?

The Pulse Check dashboard is available to all Practice Managers and dashboard admins who have a HotDoc "Dashboard only" or "Dashboard and Sidebar" account. How can practitioners view Practice Reporting?

Practitioners have their own Practice Reporting Dashboard! It exists within the HotDoc Sidebar and can be accessed with a practitioner account. To learn more, please see: How to view Practitioner Reporting in the HotDoc Sidebar.

 

Why does my Pulse Check dashboard data not match my Customer Value Email?

There are a few reasons the data might not match exactly. HotDoc captures data by taking a snapshot at a specific point in time. This means the numbers in your Customer Value Email reflect data from the moment the email was sent, while the Pulse Check dashboard shows data from its last data sync. Both are accurate, but they may differ if the data has changed in the meantime, which can be due to things like cancellations or refunds.
